If you share your calendar, your events have the same privacy settings as your calendar. If you want, you can change what others can see about certain events.

## Change the privacy settings for an event

If your calendar isn't shared with anyone, you might not see these settings.

1. On your computer, open [Google Calendar](https://calendar.google.com/).

2. Open the event you want to update.

3. Click **Default visibility**and choose the privacy setting for the event.

4. Click **Save**.

**Tips**:

* Changes to an existing event apply to your calendar but not to other guests' calendars when you update:

  * The privacy settings from "Private" to "Public."

  * The visibility settings from "Free" to "Busy."

* To make the event's title confidential, the organizer should set the event to "Private."

  * If you think a confidential event was set to "Public," contact the organizer to update the event to "Private."

# Creating a passphrase

A passphrase is a sentence or phrase that along with your Bay Path UserID, will secure data that you have access to at the University. A passphrase has numerous benefits over a password.

![:info:](https://kb.baypath.edu/__attachments/a_a335d9d27f3a693ecabad3fa6f56c32831115b891f58c5f1ea03cf6a331b27e0/atlassian-info?cb=feab5cd71111204d6b52545f3027dd0c)
If anything is unclear or confusing in this article, please contact the A\&IT Helpdesk via email at [techsupport@baypath.edu](mailto:techsupport@baypath.edu) or via phone at (413)565-1487.

*** ** * ** ***

## Why use a passphrase?

The problem with passwords is that people tend to pick something easy to remember, which unfortunately makes passwords easy for hackers or criminals to crack. Typically, password policies request that you use numbers, symbols, or capital letters. Unfortunately, people commonly create easily guessable combinations, like adding an important date (e.g., a birthday or anniversary) onto a noun (e.g., a name or location, or item on their desk). Even adding numbers as a replacement for letters (e.g., replacing an "O" with a zero, or an I with a one) has become easy for hackers to crack using modern computing hardware.

Over time, information technology administrators have tried to overcome these obstacles by introducing a tremendous amount of complexity into passwords, by creating passwords that are as random as possible while adhering to typical password rules. The result is that people no longer remember their passwords, and often lead to people storing passwords insecurely (e.g., on a sticky note under a keyboard or attached to a monitor).

Passphrases balance the need for passwords that are difficult to guess and a person's ability to memorize their passphrase. Passphrases can be anything that you'd like - a favorite quote or song lyric. An in-joke between you and a loved one. By making a long passphrase, we can drop the requirement to have highly complex passwords, as it would be very difficult for a hacker to guess.

## Passphrases at Bay Path University

Your Bay Path UserID is used to gain access to multiple systems, such as your email, Canvas, and online resources offered via the Hatch Library.

Your passphrase should be a complete sentence with capitalization and punctuation.

Your passphrase must adhere to the following:

* Contain at least 8 characters

* Contain at least one uppercase letter, one lowercase letter, and one non-letter. Spaces are okay to use.

* Your passphrase should not contain your name, your UserID or any personally identifiable information (Social Security Number, Passport Number, etc).

## How often should I change my passphrase?

To ensure that your data remains safe, we recommend that you change your passphrase at minimum every year. You can change your passphrase by visiting https://account.baypath.edu

If you don't need a calendar anymore, you can permanently delete it or unsubscribe from it. If you think you might need the calendar later, you can hide it instead.

# Device Encryption

**Need Additional Help?** If you need further assistance after reading this article, please contact the IT helpdesk via email at [techsupport@baypath.edu](mailto:techsupport@baypath.edu) or by phone at (413)565-1487.

All laptops deployed and managed by Bay Path University IT services are encrypted as part of the provisioning process. For computers running Microsoft Windows, the University uses BitLocker Drive Encryption. Computers that are running macOS are encrypted using FileVault.
To ensure that devices are recoverable, encryption keys are escrowed, and IT services hold a copy of decryption keys.

## Why you may need the recovery key

Microsoft BitLocker is intended to protect unauthorized access to your device. There are many reasons why BitLocker may prompt for a recovery key:

* **Boot configuration changes:**BitLocker monitors your device for any hardware configuration changes. If there have been numerous hardware changes, BitLocker may request a recovery key to unlock the device

* **Malicious attempts:**An attacker may try to modify the startup environment on your device, and BitLocker will request a recovery key to protect your device

* **Firmware updates:** Firmware updates may cause BitLocker to protect your device as a precaution.

If you need to enter your recovery key, you will see a screen similar to this on startup:
![image-20240725-022306.png](https://kb.baypath.edu/__attachments/a_dba5d5b7bcca0a6eca8ad03c6285f9ba5f06ac2f91f8baaa6f44a80456fe6cf3/image-20240725-022306.png?cb=c714fbbb2b797e9d482a0fee7ec1c25b)

## How to find BitLocker Recovery keys

If you have been provisioned a device running Microsoft Windows 11, you can view its recovery key.

1. Visit [myaccount.microsoft.com](http://myaccount.microsoft.com/) and sign in with your Bay Path UserID and password.

2. Click on **Devices.**

3. Click on your computer name. This will typically start with `EMP-` followed by your device's serial number.

4. Click **View Bitlocker Keys.**

## How to find FileVault Recovery keys

FileVault Keys are not available for lookup. Please contact the IT department for assistance.

# Differences between Outlook and Gmail

**Need Additional Help?** If you need further assistance after reading this article, please contact the IT helpdesk via email at [techsupport@baypath.edu](mailto:techsupport@baypath.edu) or by phone at (413)565-1487.

This article compares Microsoft Outlook to Gmail on the web and highlights the differences between each platform.

## Why does Bay Path University use Gmail?

Bay Path University switched to Google Gsuite (now Google Workspace) in 2013 as part of a push to modernize and move email and productivity services out into the cloud, to improve reliability, and increase collaboration. There are many benefits to using Google Workspace:

### Gmail is a web-native app

Gmail was designed for the web, and was built for flexibility and collaboration.

* **Gmail is always available on-the-go**: Gmail runs in a web browser instead of in an app on your computer. Using a web browser makes it easier to collaborate on projects from anywhere, on any device.

* **You never lose your work** : Google Workspace has been designed to save changes automatically as you work. There's no need to constantly click **Save**, or in the case of Microsoft Office, set up autosave through OneDrive.

### Gmail features are powered by Google AI

* **Smart compose and personalized suggestions**: Get personalized writing suggestions while you type. This helps you write and respond to messages more quickly.

* **Unsubscribe suggestions**---Gmail offers a simple unsubscribe button for promotional senders so you can remove your address from their mailing lists in one click.

* **Spam filters**---Gmail automatically blocks more than 99.9 percent of spam, phishing and malware, and protects over 1.5 billion inboxes. You can rest assured that suspicious email is automatically identified and sent to the spam folder.

* **Nudges**---Gmail can smartly remind you about messages waiting for your response by bringing them back to the top of your inbox.

### Your communication channels are in one place

Send email, use Chat, start video meetings with Zoom, and manage your calendar, all from within Gmail. You can also search for content across all your communication channels in one browser window.

## What you'll do differently in Gmail

When you switch to Gmail, it's natural to want to preserve your existing workflows. While you can often replicate Outlook workflows in Gmail, this may be a good opportunity to explore new ways of working. Below are a set of tips and best practices that will help transition from Microsoft Outlook to Gmail
